How much does coworking software cost? (2026)

What coworking software costs in 2026 at one location and at three, what the extras add, what service comes with it, and the costs that sit outside the subscription.

By James Brouard, Co-founder and CEOLast updated

Coworking software costs about US$170 to US$330 a month for one location with 100 members, on four vendors' published prices checked on 6 November 2026. At three locations and 300 members the published range is US$605 to US$812 a month, or up to US$1,091 with common extras. Hamlet is US$605 (A$845), with every feature included.

Hamlet makes coworking software, so read this knowing that. Every competitor's number below comes from that vendor's own pricing page, linked, and the arithmetic is shown so you can check it.

The price on the pricing page is rarely the price a multi-site operator pays. An app under your own name, API access and a second payment gateway are each sold separately by at least one vendor below. At three locations those extras add US$148 to US$370 a month on the two vendors that publish every price, which is 18% to 51% on top of the plan.

This guide is written for operators with two to fifty or more locations. It covers the subscription first, then what the extras add, what service you get for the money, and the costs that sit outside the software altogether. If you run one small site, there's a section near the end for you.

What does coworking software cost for one location?

For one location with 50 members, published prices run from US$129 to US$250 a month. At 300 members they run from US$250 to US$654, and the order has reversed.

The working. Spacebring at 300 is US$179 plus four blocks of 50 users at US$85. Optix at 100 is its Essentials plan at US$229 plus 50 extra users at US$2 each, and at 300 it is the Grow plan at US$579 plus 50 extra users at US$1.50. Spacebring bills in euros with a six-month minimum.

Nexudus prices per location by active users and shows the figure in a calculator on its page. Cobot prices by paying members, from US$89 a month for 10, and quotes larger spaces individually.

Read down the 50 column and Hamlet is the dearest of the four. Read across its row and nothing changes, which is the point of pricing by location.

What do the extras add at three locations?

At three locations with 300 active members, the plan prices that are published run from US$605 to US$812 a month, and the extras add up to US$370 on top.

The working. Spacebring is its US$179 plan, two extra locations at US$101 and four blocks of 50 users at US$85. Its app is US$113 for the first location and US$85 for each of the others, and its API is US$29 a location. Optix is the Grow plan at US$579, 50 extra users at US$1.50 and two extra locations at US$79. I've assumed active users are counted across the whole account.

One difference matters in that table. The other vendors' apps carry your name in the app stores, and Hamlet's included app is the Hamlet app. There's more on that under service, below.

Only two of the five other vendors publish every number at this size. For the rest you'll need a quote, so ask for the extras in writing at the same time.

To run this on your own numbers:

  1. Write down your locations and members today, and where you expect to be in two years.
  2. Price each tool at both sizes, from its own pricing page.
  3. Add the extras you'd need, at every location.
  4. Put it in a spreadsheet. It's the one spreadsheet we approve of.

How is coworking software priced?

Coworking software is priced four ways: per active member, per desk or resource, in tiers with a member cap, or per location. The first three cost more as each site fills, and the fourth costs more only when you open another site.

On the per-member models, the word to read twice is "active". Nexudus counts anyone on a paid plan or team, plus anyone invoiced or with a booking in the last 30 days, and counts them separately at each location. Spacebring counts anyone with a subscription, booking, payment or active assignment in the billing period. Cobot counts members, team members and tenants, and leaves out drop-in pass users, outside bookers and event guests.

By two of those three definitions, the forty people who came to your open day on a day pass are active users for the month. It is nice to be popular.

Hamlet doesn't count members at all. You pay for locations, and a site with 50 members costs the same as a site with 300.

What does Hamlet cost from two locations to ten or more?

Hamlet costs A$595 a month for two locations and A$250 for each one after that, excluding GST, with members unlimited at every size.

The subscription covers the standard platform and standard support by email and in-platform help. It doesn't include named people on your account, regular meetings, a say in priorities or custom development. Larger operators add those through a partner package and Hamlet Custom, priced with you, and for a big portfolio those usually come to more than the subscription itself. In pounds, Plus is £310 a month and each extra location is £130, excluding VAT. Euro and US dollar prices are on the pricing page.

What service is included, and what can you add?

Every Hamlet plan includes support from real people on weekdays in your own business hours. Larger operators can add a support team that knows their set-up, a named account manager and custom development.

If I ran more than a couple of sites, service is where I'd look hardest. Features are easy to compare on a pricing page. Who answers when your invoice run goes wrong on the first of the month is harder to see, and it matters more.

We'll build the integration you're missing. Hamlet connects to Xero, Stripe, Worldpay, Google Calendar, Salto door access, Slack and the common form tools, with UniFi Access, Wi-Fi and printing in build. Some vendors list more ready-made connectors than we do: OfficeRnD lists 76 and Cobot over 100. We keep a shorter list and build what's missing. Ask us for an integration and Hamlet Custom will reply within one business day and quote it within two, as a one-off fee. If it's already on our roadmap we'll tell you before you spend anything, and sometimes that means it costs you nothing.

One app is included, and your own is a conversation. Every plan includes the Hamlet app for iOS and Android, and the web portal can carry your brand. We've held off selling a separate app under each operator's name, because every one means another developer account, another store review and another release for somebody to look after, and we'd rather that somebody wasn't you. If your own name in the app stores matters to your members or your landlord, tell us and we'll scope it as custom work.

Every plan carries the same list. Recurring billing with payment retries and overdue reminders. Xero sync. Bookings for rooms, desks and anything else you rent, with a public shop where guests pay at checkout. The member portal and app. A shared inbox and a leads pipeline. Reporting by site and across the portfolio. The open API, and new features as they ship. The only things billed separately are third-party costs and, when they launch, AI features on usage credits.

Is coworking software worth the cost?

Usually, once billing takes more than a few hours of somebody's month, and the clearest case we have is our longest-standing customer.

WOTSO, a flexible workspace operator listed on the Australian Securities Exchange with more than 45 locations, used to have six full-time accountants reconciling thousands of invoices off printed spreadsheets every month. Billing there is now a two-person job, at about 99% accuracy, on a network that kept growing the whole time (case study).

There's money in it as well as hours. Jessie Glew, WOTSO's joint MD and COO, put it this way: "minor charges, easily overlooked, such as half-hour meeting room bookings, are now easily tracked and billed."

We don't yet have a measured hours figure across all our customers, so we won't quote you one. Here's how to get your own. For one month, time these five jobs:

  • Raising the month's invoices
  • Chasing the ones that weren't paid
  • Reconciling payments in your accounts
  • Taking bookings and payments by email or phone
  • Answering "can you send me my invoice?"

Multiply the hours by what an hour of that person costs you, and set the total beside the subscription. Then add what the software earns while nobody's there, like the meeting room booked and paid for at 9pm by someone who never emailed you.

What costs sit outside the subscription?

Payment processing is usually the largest, followed by your accounting software, any door, Wi-Fi or printing hardware, and onboarding if you want help.

Processing fees are set and charged by your payment gateway. With Hamlet that's Stripe or Worldpay, and we can't change what they charge. What we control is our own side: Hamlet adds no percentage and no fee of its own to anything your members pay online.

Card and direct debit are priced differently, and on a large invoice the gap is real money. In September an operator walked me through a sum they'd done on one of their office members. If that member pays by card instead of direct debit, the operator is out two to three hundred dollars in processing fees on that one client. The only way they had to catch it was for somebody to check, by hand, every month, who had added a card. Ask your gateway for both rates before you set your payment terms.

The rest of the list, with Hamlet:

  • Your Xero subscription.
  • Door access, Wi-Fi or printing hardware and licences, priced by those vendors.
  • AI features, which will run on usage credits when they launch.

Ask every vendor the same four questions. Is the member app extra? Do you add a fee per payment or booking on top of the gateway's? Is onboarding compulsory? What does an integration you don't list cost?

When is Hamlet the wrong choice?

Hamlet is the wrong choice in two cases.

You run one small site and plan to stay that way. A flat fee divided by a handful of members is a lot per head.

Members at one siteHamlet per member, per month
15A$23.33
50A$7.00
150A$2.33
300A$1.17

At 15 members a per-member tool will probably cost you less, and that's a fair reason to pick one. If a second site is on the cards, price for that now.

You need an app under your own name in the stores on day one. Some of the vendors above sell one off the shelf for US$99 to US$150 a month. We'd build it with you as custom work, so it starts with a conversation.

Frequently asked questions

Which coworking software doesn't charge per member?

Hamlet doesn't. Hamlet prices by location with unlimited members on every plan, so a site with 50 members and a site with 300 both pay A$350 a month, excluding GST.

Is there a free trial?

Yes. Every Hamlet plan starts with a one-month free trial, and members of Flexible Workspace Australia get two months.

Does Hamlet charge transaction fees?

No. Hamlet adds no fee or percentage per transaction, per member or per payment gateway. Stripe and Worldpay charge their own processing fees, which Hamlet doesn't set and which are paid to them.

Do Hamlet's prices include GST or VAT?

No. Hamlet's prices exclude GST, VAT and local sales tax. The invoices you send your members carry the tax for your market.

Is annual billing cheaper?

Yes, by 10%. Hamlet Base is A$315 a month on annual billing, against A$350 monthly.

What happens if we add a site later?

You upgrade at any time and the change is prorated, with no new contract. Each Hamlet location after the first two is A$250 a month.

How much does coworking software cost for multiple locations?

For three locations with 300 active members, published monthly prices run from US$605 to US$812 before extras, checked on 6 November 2026. Hamlet is A$595 a month for two locations and A$250 for each extra one, excluding GST, with unlimited members. Ten locations on Hamlet start at A$2,595 a month.

Can Hamlet build an integration we need?

Yes, through Hamlet Custom. Hamlet replies to a request within one business day and quotes it within two (Australian business days), as a one-off fee. Whatever is built stays on the platform, so it's maintained and upgraded with everything else.

Does Hamlet offer a dedicated support team or account manager?

Yes, for larger operators. Every Hamlet plan includes support on weekdays in your business hours, and operators with ten or more locations can add a support team that knows their set-up, a named account manager, agreed response times and an SLA, priced with you.
